Administration Assistant
Pour un Sourire d’Enfant (PSE) - For a Child’s Smile is a non-profit organization founded by Christian and Marie-France des Pallières, operating in Cambodia since 1995. Its mission is to help children escape from destitution and lead them to decent, skilled and well-paid jobs.
Recognized by the local authorities, PSE is working in respect of the country with the Cambodians and thus supports sustainable development.
Six main programs – adapted to the needs of the children – have been developed: food, health, protection, education & schooling, vocational training and help for families.
PSE helps more than 6,500 children and more than 6,000 graduates from PSE Vocational Training program graduates have already successfully integrated the job market with a real qualified position. PSE employs more than 650 people in Cambodia (Phnom Penh mainly) and 6 staff at the headquarters in France. 400 volunteers in different countries are actively working on making the organization known through fundraising donations and sponsorships.
In 2000, PSE received the French Human Rights Prize from the French Republic.

Administrative Assistant will act as the point of contact for all employees in SoL, providing administrative support and managing queries.
● Manage interdepartmental communication and coordination
● Manage office supplies stock and place orders
● Ensure functionality of necessary office equipment, and requisitioning new equipment and supplies as needed
● Prepare regular reports on expenses and office budgets
● Maintain and update any department databases
● Assisting human resources department with payroll and personnel databases
● Conferring with accounting department to help make payments, process incoming invoices, and verify receipts
● Organize a filing system for documents
● Answer queries by employees
● Update office policies as needed
● Maintain a department calendar and schedule appointments
● Book meeting rooms as required
● Attend meetings and record notes and messages
● Distribute and store correspondence (e.g. letters, emails and packages)
● Prepare reports and presentations with statistical data, as assigned
● Arrange travel and accommodations
● Schedule in-house and external events
Education
● Bachelor degree in Business Administration, Finance/Accounting or related field with adinistrative background
Experience
● At least 2 years of experience in core Administration work, preferably with NGO, school, colleges
Skills
● Good knowledge of MS Office, e-mail and communication, planning, organizing and coordinating skill
● Ability to communicate in English both verbally and in writing, and French is an advantage
● Good interpersonal communication skill
Specific Technical Competencies
● Solid knowledge of office procedures
● Hands-on experience with MS Office Suite (particularly MS Word and MS Excel)
● Familiarity with office equipment, like printers
● Basic math skills
● Solid time-management abilities with the ability to prioritize tasks
● Facilitate and organize all administrative process, support and implementation
● Keep archives of all stocks and relevant sources of informations
● Act effectively as a service provider
● Create a simplified tools to enhance to admin support and process
